Welcome to the MRDC apps

All of MRDC's internal tools live in one place and share a single sign-in. This guide walks through each app and the everyday tasks — signing in, finding your apps, and the common "how do I…?" jobs. Use the menu on the left to jump to any section. No technical know-how needed.

Getting started

One address, one login, and the apps you're allowed to use appear as tiles.

Sign in

  1. Go to www.mrdc-htra.com in any web browser — on a computer, tablet, or phone.
  2. Log in with your work email and password. You stay signed in across all the apps, so you only do this once.
  3. Forgot your password? Ask an administrator to reset it, or use Change My Password inside the Employee app if you're already in.

Find your apps

Every app you're allowed to use shows up as a tile. Click a tile to open that app. You won't see tiles for apps you don't have access to — that's normal.

Don't see an app you need? Access is set per person. Ask an administrator (or the owner) to turn it on for you in Access & Roles, then sign out and back in.

Update your contact & emergency info

  1. Open My Profile from the Quick Forms at the top.
  2. Edit your phone numbers, emergency contact, or photo.
  3. Click Save. Everyone sees your changes right away.

Request time off

  1. Click Vacation Request.
  2. Pick your dates and the number of days, add a note if needed, and submit.
  3. Track it under My Leave Requests — you'll see it as your manager reviews it.

Approve leave (managers & admins)

  1. Open All Leave Requests.
  2. Review the request, then approve or send it back with a note.
  3. Use the Leave Calendar to see everyone's approved time off at a glance.

Safety

Work-zone audits, contractors and their hours, accident/incident reports, and a way to message contractors.

Submit a Work Zone Audit

  1. In the Work Zone Audits card, click Open form.
  2. Fill in the field audit and submit. Use Review submissions to see past audits.

Report an accident or incident

  1. In Accidents & Incidents, click New report — near miss, good catch, or incident.
  2. Complete the report and submit; managers review under Review submissions.

Contractors & messaging

  1. Add / manage contractors, log Contractor hours, and store Documents.
  2. Use Message Contractors → Open form to email or text one, several, or all contractors at once.

Log hours for a contractor (on their behalf)

Contractors usually submit their own monthly hours, but a safety team member can log hours for them — for example from a paper timesheet or a phone call.

  1. In the Contractors card, click Add hours.
  2. Pick the contractor from the list — the Company fills in automatically — or choose Someone else to type a name that isn't on the roster.
  3. Tick the highway section(s) worked (or add one under “Other section”), choose the type of work, and enter the supervisor, date, and hours.
  4. Click Add hours. You can keep going to log several in a row — each one is listed under Added this session.
Who can do this: Admins, Owners, and Managers. Every manual entry is stamped with your name under Entered by, so it's clear who logged it, and it appears alongside the contractor's own submissions in Contractor hours and Stats.

Quality

Field quality assurance against the OMM maintenance standards — run audits and track what they turn up.

Run an OMM field audit

  1. Open OMM Field Audits.
  2. Grade each of the 17 Schedule 1 standards (A / D / NC), match the asset, and add photos.
  3. Submit — any deficiencies raised flow straight into the DMT app as work orders.

Track deficiencies

Open Deficiencies & Work Orders to see everything an audit raised, prioritised and tracked to closure.

When an audit turns up a deficiency or non-conformance, an alert email goes out automatically, and deficiencies get a 30-day follow-up so nothing is forgotten.

DMT — Deficiency Management Tool

Every deficiency becomes a work order here, tracked from raised to closed across the corridor.

Find a work order

  1. Search a WO # or keywords in the top search box, or
  2. Use the filters (status, priority, division, route, direction, side) and press Filter.
  3. Need it in a spreadsheet? Click Export Excel.

Raise a new deficiency

Click + New deficiency, describe it, set the priority and location, and save — it becomes a tracked work order.

Closing a work order is limited to administrators, by design — so a record isn't closed before the work is verified.

Track non-conformances and their corrective actions (CAPA) — quality, provincial, and ISO.

Raise & track an NC

  1. Click + New NC and record the finding, clause/standard, division, and who's responsible.
  2. In the Register, filter by status, source, division, or OMM standard to find open items.
  3. Work each NC through its corrective action to closure; use Reports for summaries.

Complaints & Compliments

One place for public complaints, compliments, and claims — whether they arrive from the website, a phone call, or the call centre.

The dashboard tiles show what's Open, what's Awaiting action, how many are complaints/claims, and how many came in this month. The chips and search box below narrow the list.

Log a new entry

  1. Click Log entry.
  2. Enter the caller's name and contact, choose the type (complaint / compliment / claim), and write what they said.
  3. Optionally assign it and set a status, then Create.

Assign & work a complaint

  1. Click any entry to open it.
  2. Set Assigned to a manager, update the Status, and record what was done under Action taken.
  3. Attach an email, photo, or letter with Add a file, then Save.
When you assign a complaint, that manager gets an email with the details and a link straight to it. If it's still sitting in Todo a week later, they get a reminder — so nothing slips.
Who can do what: Admins and Managers (and Patroller/Supervisors) can log, assign, and action complaints. People with view-only access can read them but not change them.

Emails you receive

Why the apps email you — and the one thing that makes each reminder stop.

The apps send two kinds of email. Notifications tell you something just happened and arrive once — nothing to switch off. Reminders repeat (usually Monday mornings) for as long as the item they point to is still open or unactioned. To stop a reminder, do the thing it's asking for and it stops on its own.

NC — Non-Conformance

Action plan overdue reminder. Arrives on weekday mornings when an NC you're the responsible person for has passed its start-by date (raised + 5 working days) with no action plan started.

To stop it: open the NC and start the action plan — the first step is enough. The reminder clears once a plan exists.

“Follow-up requested.” A manager or admin clicked Send follow-up on your NC. It's a manual nudge, not a recurring cycle — keeping the NC moving is how you avoid being chased.

Quality — Audits

Audit findings alert. Sent the moment an audit is submitted that recorded a deficiency or NC. It's a one-time alert; a fully compliant audit sends nothing.

Deficiency follow-up reminder (weekly, Monday). Every deficiency gets a 30-day follow-up date. Once that date passes and it's still Open, it appears in a Monday digest.

To stop it: open the audit from the link and mark the deficiency Closed on the review page.

Complaints

Complaint assigned to you. A one-time hand-off email when a complaint is assigned to your name, with a link straight to it.

Overdue complaint reminder (weekly, Monday). A complaint still marked Todo more than 7 days after it came in shows up in your Monday digest.

To stop it: move the complaint off Todo — set it to In progress, Done, or No Follow Up Required.

DMT

Critical reminder (weekly, ~7 a.m. Monday). Goes to everyone on the DMT Critical Reminders subscription whenever Critical deficiencies are open — a division-grouped summary with overdue items flagged.

To stop it: close out the Critical items so the list empties — or, if you shouldn't be on the list, change your email subscription (below).

Safety

Work-zone audit copy. A copy of every submitted work-zone audit, sent to the Work Zone Audits subscription list.

Contractor month-end hours reminder. Sent to contractors on the last day of each month as a prompt to submit that month's hours.

Subscription emails (DMT Critical Reminders, Work Zone Audits) go to a named list, not to your own records. To change who receives them, update the person's Email subscriptions in Access & Roles — the change takes effect after they next sign in.

Access & Roles (owner)

The owner's console for deciding who can open which app — and what they can do inside it.

Each person is a row. The checkboxes control which apps they can open at all. Where an app has a small role dropdown next to it (Safety, Training, Quality, DMT, NC, Complaints), that sets what they can do inside it.

Give someone access to an app

  1. Search their name, then tick the app's checkbox on their row.
  2. If the app has a role dropdown, pick a role (see "Roles explained" below).
  3. Changes save instantly. The person signs out and back in to pick them up.
Email subscriptions on each row control which automated emails a person receives (payroll digest, DMT critical reminders, and so on). Tick to subscribe.

Roles explained

There are two kinds of role, and they do different jobs.

Your organisation role

Owner, Admin, Manager, Supervisor, or Employee. This governs the Employee app — managers see their team, admins see everyone. Owners automatically get every app.

Your role inside an app

For Safety, Training, Quality, DMT, NC, and Complaints, a per-app role sets what you can do:

"I can't see an app." Almost always this means the app isn't ticked for your account. Ask an administrator to turn it on in Access & Roles, then sign out and back in.

Need help?

If something isn't working or you need access to an app, contact an administrator. Most "I can't get in" or "I can't see it" issues come down to access or a password — both are quick fixes on the admin side. When in doubt, sign out and back in first: it refreshes your apps and roles.
